Shipment Information

The shipment information display allows you to track parcels using unique identification features and to answer any prompts.

Receipt number

The receipt number field allows you to track you parcel based on the Hermes return receipt. Return receipts include the slips received when the customer handed over a parcel(s) to one of the 14,000 Hermes ParcelShops in Germany, or a receipt received when parcel(s) was/were collected from the doorstep by one of the Hermes couriers (either an authorized or unauthorized collection).

A receipt number can refer to several parcels. In this case, all the parcels on the receipt were collected/handed over at the same time.

ID Number

Entering the Hermes shipment ID number allows you to trace the scanning history of the parcel. This unique shipment number is made up of 14 digits and is printed on the parcel label.

Tracking your parcel using the shipment ID number only displays the single parcel that is allocated to this number.

Customer/Reference number

You can also track a parcel and check the shipment history by entering the customer/reference number the mail-order company sent to Hermes (e.g. order, invoice or customer number).

A customer/reference number can refer to several parcels. In this case, all the parcels displayed were sent using the same customer/reference number.

Advanced Search

This uses components of the address such as surname, street, postcode or the name of the town. The following minimum combinations can be entered for an advance search:

1 - Surname + postcode

2 - Surname + town

3 - Street + postcode

4 - Street + town

5 - Area code + phone number

The system displays all parcels that match the search details entered.

Proof of Delivery

The proof of delivery shows the recipient’s signature together with some information relating to the parcel such as the ID number of the parcel, the original delivery address and the time of the delivery.

If a person other than the recipient accepts the parcel, the system displays a reference, containing further details of the address and the signature on the POD.

The POD is displayed in PDF format and can be printed and saved for complaints procedures purposes.

For parcels that have already been delivered, the POD can be printed and saved in the Details page.

Notification Card

If the courier cannot make the delivery (if the customer is not at home, for example), a notification card is left in the recipient’s letter box. This card represents a direct line of communication between the Hermes courier and the end-customer.

The notification card is linked to the ID number of the parcel, enabling the shipment history to be retrieved by entering the notification card number.

Appropriate Parcel Numbers for Multiple Queries

Appropriate parcel numbers for multiple queries include ID number, receipt number and the return barcode.

Entering and Importing Parcel Numbers

Parcel numbers can be entered in the multiple query search field separated by a comma, or can be imported.

The import function allows you to enquire about up to 100 parcel numbers at the same time. Text files (*.txt) and Comma-Separated Values files (*.csv) are the two file formats this function supports.

The import file should consist of one column and 101 lines. Line 1 serves as a Header (heading) for the list. The structure can be seen in the figure below.

To make it easier for you to create import files, we have stored an example of the import file here as a.TXT file and here as a .CSV file.

Launch this function by clicking Import Data.

The import file can be selected by browsing your files, as for example:

Select the file required and confirm your selection by clicking Open.

To start the function click Import parcels.

In the multiple query search field, the imported parcel numbers are listed and can be retrieved straight away by clicking Find.

Displaying ID Numbers in Multiple Queries

ID numbers found in a multiple query are displayed in a list. The following information is available at a single glance:

Detailed information on each parcel can be viewed by clicking History.

History describes how a parcel has been processed to date. The uppermost parcel status is the most up to date scanned status available for the parcel.

Detailed information on the parcel is displayed, including the type of service ordered, such as ‘24-hour express service’, and whether this is a COD delivery, for example.

The Return request only for parcels button takes you directly to the application to create a return request.

Batch Printing PODs

In the Multiple Query summary list of ID numbers, PODs can be printed for parcels that have already been delivered. Print options allow for single ID numbers, a selection of ID numbers or all ID numbers to be printed. A maximum of ten PODs can be printed off in any one print run.

Each POD is displayed in a new window as a .pdf file and can be printed and/or saved directly.

Receipt numbers found in a multiple query are displayed in a list. The following information is available at a single glance:

By clicking on Details, the parcels represented by the receipt numbers are listed singly. The history of each of the parcels can then be viewed.

Displaying Return Numbers in Multiple Queries

Return barcodes found in a multiple query are displayed in a list. The following information is available at a single glance:

Vendor

Use the pull-down menu to select the vendor the returned item is to be assigned to.

Customer/Reference number

Enter the customer/reference number for the customer who is returning the item.

Surname/First name

Enter the surname and first name of the customer returning the parcel.

Address 2

If there are any special features of the address (e.g. c/o, back of a building, side entrance, names of the company, flat number, etc.), these are to be entered here.

Street

Enter the name of the street and the house number for the return collection.

Post code / Town

Enter the postcode and the town for the return collection.

Phone

Enter the telephone number for the customer who is returning the parcel.

Number of returns

Enter the number of parcels to be collected in this field.

Collection date

Enter the date on which the returned parcel is to be collected Please note that return requests you send after 8.00 pm will only be carried out on the workday after next.

You can enter the date manually, or select a date from the calendar function. Please note that the calendar function does not provide the option 'Today'.

The date entered can only lie a maximum of 10 (ten) days in the future.

Returns under 10 kg and 40 litres

Please try to estimate the weight and volumes, and click the appropriate button. This would certainly help us to plan the logistics operations more effectively.

Reset

Click this button to delete all the entries you have made. Any data you have entered will not be sent to Hermes, neither will the return request.

Send

Click the Send button to send the details to Hermes and issue the return request.

ParcelShop-Finder

By entering the postcode or the name of the street and the town, you can find a ParcelShop where customers can take their parcels for collection and return.

The details of the nearest ParcelShop are displayed in a separate window.

Any data entered for the returns collections is not affected by your ParcelShop search and will not be lost. If the customer decides to take advantage of the option of using one of the 14,000 ParcelShops for the return, the data you have entered can be deleted by clicking Reset. In this case, it is not necessary to transfer the return collection details to Hermes.
